Which tenants are behind on rent, and by how much?

Rent due and rent received sit against each unit and each tenant, so arrears are a live figure per apartment, per building and across the portfolio. You can see who is one month late and who has been drifting for a year without waiting for someone to build the report.

A lease expires in sixty days. Who notices?

The system does, because the lease term, the notice period and the renewal date are held with the tenant rather than in a folder. Renewals stop being remembered and start being scheduled, which matters most when one person is looking after several hundred units.

A tenant reports a leak. What happens next?

The request is logged against the unit, assigned to a person or a contractor, and tracked until it is closed, with the cost recorded against the property. Nothing depends on remembering a phone call, and the tenant who calls twice a week gets an answer that is not a guess.

How do we produce owner statements without losing three days to it?

Income and costs are tracked per property as they happen, so the statement is a report rather than an assembly job. Rent collected, maintenance spent, management fee charged and the balance due to the owner all come from the same records the operation already ran on.

How do we split common charges across the units in a building?

Building costs are recorded against the building rather than against the company, which is what makes recovery possible. Cleaning, security, lifts, generator fuel and shared utilities can then be apportioned to units by the rule your leases set, and what was spent against what was recovered is visible.

What does the first month of using this actually involve?

Loading the portfolio. Buildings, units, tenants, lease terms, dates, balances and open maintenance items. It is the least interesting part of the project and the one that decides whether the rest works, because every report afterwards is built from what was entered at the start.
