Where does a sales team actually lose time?

Between the documents. Retyping a quotation into an order, phoning the warehouse to check stock, waiting for somebody to approve a discount, and rebuilding last month's figures for a commission argument. Almost none of it is selling, and all of it disappears when those functions share one database.

What happens at each step from quotation to payment?

Each document carries the previous one forward and changes something else in the business. A quote becomes an order without retyping, the order commits stock, the invoice posts revenue and the receivable, and the payment clears it. One entry by the sales team, several consequences everywhere else.

StageWhat the sales team doesWhat happens elsewhere
QuotationBuilds it using the customer's own pricingNothing moves, but the quote sits on the customer record
RevisionChanges the quote and keeps the historyThe earlier version stays visible for reference
Sales orderConverts the quote in one stepStock is committed against the order
DeliveryConfirms what actually went outStock leaves inventory at cost
InvoiceConverts the order, in full or in partRevenue and the receivable post to the ledger
PaymentRecords the receiptThe customer balance and the cash position update

How do you stop selling to a customer who has not paid?

Credit limits sit on the customer record and are checked when the order is raised, not after the goods have left the building. Anyone taking an order can see that the account is over its limit or carrying overdue invoices, so releasing it becomes a deliberate decision rather than an accident.

What happens when you sell something you do not have?

The order records what was promised, and the shortfall can be converted into a purchase request or a purchase order linked to it. Delivery is tracked against that purchase, so the date you give the customer comes from the supplier's commitment instead of from optimism.

How do partial deliveries and payment terms work?

An order stays open while it is filled in pieces. Part of it can be delivered and invoiced while the rest remains outstanding, and the order shows what is still owed to the customer. Payment terms and instalment schedules sit on the invoice, so due dates come from the agreement.

How are commissions calculated without an argument?

From the same records the invoices came from. Commission can be tracked by rep, by product or by order value and calculated from what was actually sold. The honest caveat is that the system will calculate whatever plan you give it. It cannot fix a plan people think is unfair.
