Our quote used last month's panel price. How do we protect the margin?
Quotes are built from the equipment, labour and installation costs held in the system rather than from a spreadsheet somebody copied. When supplier prices move, the next quote uses the new figure, and you can see which jobs were sold at costs that no longer exist before you start buying for them.
Solar is unusual in how quickly the input costs move. Panels, inverters and especially batteries can shift enough in a quarter to turn a healthy job into a poor one, and quotes issued weeks earlier are still being accepted.
The exposure sits in the gap between signing and purchasing. If twenty accepted quotes are waiting for equipment you have not yet ordered, that is a number worth knowing on any given morning.
Once actual costs are tracked against the quote for each installation, the pattern shows up fast. Most installers find that a particular system size or a particular roof type is where their estimating is consistently wrong, and that is a fixable problem.
Which inverter is on which roof, five years from now?
Serial numbers for panels, inverters and batteries are recorded against the installation they went to. Years later a service call starts with the equipment list, the install date and the history of every visit, rather than with someone driving out to look at the label on the wall.
Warranty periods in solar are long enough that the person who did the installation may not work for you when the claim arrives. Everything depends on the record, and the record has to have been made on the day.
It matters in the other direction too. When a manufacturer announces a fault in a production run, the useful question is which of your customers have units from that batch. That is a two minute search if the serials were captured and a very bad month if they were not.
The honest caveat is the same one every installer knows. Capturing serials properly at the point of installation, on a roof, at the end of a long day, is a discipline problem. No software fixes it, though a mobile entry that takes seconds helps more than a form back at the office.
The customer says the system is underperforming. Who goes, and who pays?
The service call is logged against the installation, so whoever attends can see the equipment, the install date, the warranty position and every previous visit. Parts used and hours spent are recorded against the job, which is what tells you whether your after-sales work is covered or is quietly costing you money.
After-sales is where solar companies discover their real margin. The installation was priced and sold. The four visits over the following two years were not, and they usually go unrecorded because they feel like customer service rather than cost.
Once visits carry their cost, the picture separates. Some jobs need one call in three years. Others need six, and those tend to share something in common: an installer, a product, a site condition, or a customer who was promised more than the system could deliver.
Warranty status decides who pays, and it should be visible before the van leaves rather than argued about afterwards. Sending a technician to a job that is out of warranty without agreeing the charge first is the most common way this cost gets absorbed.

How do we stop promising installation dates we cannot meet?
Equipment committed to a signed job stops being free stock. Installation work is planned as scheduled tasks with the team assigned and the equipment those tasks need, so the date you give a customer is based on what is available rather than on what is in the warehouse today.
The classic failure in a growing installer is selling the same batteries twice. Two salespeople see the same stock figure, both promise a date, and one customer waits an extra six weeks for a container.
Lead times make this worse in solar than in most trades. Panels are usually available. The inverter model you specified may not be, and the substitution changes the quote as well as the schedule.
Planning the crews alongside the equipment is the other half. A job is not ready because the parts arrived. It is ready when the parts, the team and the roof access line up on the same day.

Are our maintenance contracts actually making money?
Compare what a contract bills against the visits it consumed. Because service calls carry their parts and their hours and sit against the same customer as the contract, an agreement that is underpriced becomes visible in the first year rather than at the third renewal.
Maintenance agreements are attractive because they produce recurring income, and dangerous for the same reason. The revenue is fixed and the cost is not, which is a fine arrangement until the fleet of systems under contract gets older.
The number that matters is visits per system per year, and it changes with the age of the installation. If you price a contract from what a two-year-old system needs and apply it to eight-year-old systems, the maths turns against you slowly enough that nobody notices.
