Essential ERP modules for IT & development firms

Tech companies need intelligent automation tools to manage development projects, client contracts, and billing. These are the modules that carry most of that load.

Developer working late at a screen showing code

The only stock you carry is your team's time.

Did that fixed-price project actually make money?

Time, purchases and expenses are recorded against the project and compared with what you quoted. The answer arrives while the work is still running rather than three months after it closed, which is the only point at which you can still do something about it.

What you quotedWhat usually happensWhat the system shows
A fixed number of daysExtra days absorbed without discussionHours booked against the project
A fixed scopeSmall requests added along the wayWork recorded outside the original budget
Licences and hardware at costBought, delivered, forgottenPurchases allocated to the project
A marginAssumed until the year closesActual cost against actual billing

Where does our sprint board stop and the ERP start?

Wizard does not replace Jira, Linear or whatever your developers open every morning. It holds the commercial side of a project: budget, cost, time, purchases, invoices and profit. The engineering board stays where it is, because that is where it belongs.

How do timesheets feed both the invoice and the cost report?

Time is recorded once against a project and a task. The same entry supports the client invoice and the internal cost of that project, so nobody keeps a billing spreadsheet beside a management one, and the two versions never disagree at month end.

We bill retainers, projects and licences. Can that be one process?

Yes. Recurring support contracts, milestone billing on projects and resold hardware or licences run through the same sales and accounting records. A client with all three gets one statement, and your receivables are one list instead of three that half agree with each other.

  • Recurring retainers

Invoiced on schedule, with the underlying time available behind each invoice.

  • Milestone billing

Tied to the project, so the amount billed is checked against the stage actually reached.

  • Resold licences and hardware

Bought through procurement, costed to the client, margin visible on each line.

  • Aging and reminders

Overdue invoices are tracked and chased rather than noticed during a cash squeeze.

Who is actually free next month?

The system shows what each person is committed to and what each project still needs, based on recorded time and planned work. It will not build the schedule for you. It removes the part where three project managers each believe they have the same senior developer.

What should an owner look at every month?

Margin by project and by type of work, unbilled time, receivables aging, and cost per person against what that person billed. Those four together answer whether the firm is busy or profitable, and those are not the same condition.

  • Margin by type of work

Fixed price against time and materials, compared over several projects rather than one.

  • Unbilled time

Work already done that has not turned into an invoice yet.

  • Receivables aging

Development firms are usually owed more, and for longer, than the owner believes.

  • Cost against billing per person

The uncomfortable number, and the one that changes hiring decisions.
