Stock in three places, one number that has to be right.

## Why does the physical count never match what the system says?

Almost always because a movement happened without being recorded. Goods moved between bins by hand, a pick taken from the wrong location, damaged stock set aside, a return put back with no paperwork. When every movement is entered at the moment it happens, the count stops being a discovery exercise.

Read the detail

A warehouse that counts once a year is not measuring accuracy. It is measuring the total of twelve months of small undocumented decisions, and by then nobody can explain any of them.

The value of recording movements as they occur is that the difference is small enough to investigate. If a bin was right on Tuesday and wrong on Thursday, there are two days of activity to look at, and the record shows who touched it.

Counting a section at a time while the warehouse keeps working is far easier to sustain than shutting the building for two days in December. It also means the accounts carry a stock figure you would defend, rather than one everybody privately doubts.

| Where stock goes missing | What the paper system shows | What a recorded movement shows |
| --- | --- | --- |
| Pallet moved to clear space at the dock | Nothing, the item is still in its old bin | The new location, and who moved it |
| Picker takes from the next bin along | A shortage found weeks later | The pick, the bin it came from, the time |
| Cases damaged in handling | A gap at year end | A write-off with a reason attached |
| Goods returned by a customer | A note that may or may not reach the office | A receipt back into a nominated location |
| Stock issued before the paperwork | Two versions of the same week | One record, timestamped |

## A client says we lost their pallet. How do we settle it?

Stock is tracked by owner as well as by location, so a client's goods stay separate in the records even when they share a building with everyone else's. Each item carries its movement history, which means the conversation is about a record of receipts, moves and dispatches rather than about who remembers what.

Read the detail

This is the difference between storing goods and running a storage business. Your own stock is a number you manage. A client's stock is a promise you have to be able to prove, and the proof has to survive a dispute months after the fact.

Ownership held against the stock also keeps the accounting straight. Goods you are storing for a customer are not your inventory and should not sit in your balance sheet as if they were.

The honest limit is that the record is only as good as the scanning discipline behind it. A movement done at four in the afternoon and entered the next morning leaves a gap, and that gap is exactly where the argument will start.

## How should we decide where a pallet goes when it arrives?

Locations are structured to match the building, down to bin level, so put-away is a decision the system can guide rather than one the receiver makes from memory. Fast-moving goods can be positioned near dispatch and slow stock pushed back, which shortens the walk on every order that follows.

Read the detail

In most warehouses put-away is where the day is won or lost. A pallet dropped in the nearest free space costs nothing that morning and costs a few minutes on every pick for the next six months.

Once movement history exists, you can see which items actually move rather than which ones people believe move. That list changes with the season, and a layout set two years ago is usually wrong in ways nobody has noticed.

Dock-to-stock time is worth watching on its own. Goods sitting on the floor between the truck and their bin are goods that cannot be sold, counted or picked, and they are the most common cause of a stock figure that is technically correct and practically useless.

- ### Zones that match the building

Aisle, rack and bin recorded the way your team already describes them out loud.
- ### Position by movement, not by habit

Items that turn weekly do not belong at the far end of the building.
- ### Receiving that finishes at a bin

A receipt is not complete until the goods have a location, not just a quantity.
- ### Room for client separation

Third-party goods can sit in dedicated zones while still reporting as one warehouse.

## How do we stop the wrong item leaving the building?

Picking, packing and dispatch can all run from a scanner, so the item in the picker's hand is checked against the item on the order before it goes anywhere. Mistakes are caught at the shelf, where fixing one costs a few seconds instead of a return, a credit note and an apology.

Read the detail

Mis-picks are expensive in an unusual way. The direct cost is the return freight, but the real cost is the customer who now checks every delivery you send and tells their colleagues to do the same.

Scanning also gives you something to manage by. Errors per thousand lines is a number you can watch, trace to a shift or a zone, and act on. Without it, warehouse accuracy is a matter of opinion and the loudest opinion wins.

None of it removes judgement from the floor. A picker who scans one carton and takes five will still get it wrong, which is why the useful measure is the error rate over time rather than the promise that errors are impossible.

## How do we bill a storage client for what we actually did?

Storage, handling and movement activity are recorded as they happen and feed the client's invoice, so billing reflects the month that occurred instead of a rounded estimate. When a charge is queried, the backup is the same movement history the operation ran on.

Read the detail

Third-party storage businesses lose money in two directions at once. Handling work goes unbilled because nobody logged it, and disputes get settled in the client's favour because there is no record to point at.

Because the warehouse records and the ledger sit on one database, an invoice raised for storage posts to the customer account and the revenue in the same action. There is no monthly exercise of turning an operations spreadsheet into a billing run.

What the software cannot do is design your rate card. Whether you charge per pallet position, per movement, per square metre or on a minimum commitment is a commercial decision, and getting that structure right matters more than the tool that measures it.

## What has to be true before a scanner-driven warehouse works?

Locations need labels that match the system, items need barcodes that scan first time, and the team needs devices that are charged and available at the start of the shift. The software side is usually the quickest part of the project. The building takes longer.

Read the detail

Labelling is the piece most often underestimated. Every rack, bin and staging area needs a name that is unique, printed, readable from a distance, and identical to the one in the system. Doing this properly takes a few days of unglamorous work and saves months of confusion.

The second piece is agreeing what the truth is. If the floor believes the shelf is right and the office believes the report is right, the project stalls. It moves again when everyone accepts that the record is what happened and any gap is worth investigating rather than arguing about.

Wizard Cloud ERP runs fourteen modules on one database, so warehouse management, inventory and accounting are the same system rather than three that need connecting. A warehouse can start with receiving and put-away, add picking once the locations are labelled, and bring billing in after that.

## Questions we get asked

If yours is not here, ask on the demo call. We would rather tell you it is not a fit than sell you the wrong thing.

[Ask us directly](https://wizardsolutions.net/contact)

- Can we track stock owned by our clients?

Yes. Stock can be tracked by owner as well as by location, which is what you need to run third-party storage. Each client's goods stay separated in the records even when they share a building.
- How is billing handled for storage services?

Storage, handling and movement activity are recorded as they happen and feed into client invoicing, so billing reflects what actually occurred rather than a monthly estimate.
- Does it support barcode operations?

Yes. Receiving, put-away, picking and dispatch can all be scanner-driven, which is the practical difference between a warehouse that knows its stock position and one that finds out at stocktake.
- Can we organise by bin and zone?

Yes. Locations are structured to match the building, down to bin level, and pick routes follow that structure. Fast-moving goods can be positioned to cut walking time.
