The business side of a clinic, not the clinical side.

## Does this replace our patient records system?

No. Wizard runs the business side of a clinic or hospital: procurement, pharmacy and consumable stock, medical equipment as fixed assets, payroll and accounting. Clinical records, diagnoses and treatment notes stay in your medical system. The two answer different questions and neither does the other one well.

Read the detail

It is worth being blunt about this, because most ERP vendors are not. A hospital information system exists to keep a patient safe. An ERP exists to keep the institution solvent. Buying one expecting the other is how healthcare IT projects end up abandoned halfway.

What Wizard does is take everything that is really a supply chain, a payroll or a ledger problem and put it in one place. That covers a large share of what a hospital administrator spends the week on, and almost none of what a doctor does.

| Area | Handled in Wizard | Stays in your clinical system |
| --- | --- | --- |
| Medicines and consumables | Purchasing, stock by batch and expiry, issue to departments | What was prescribed to a named patient |
| Medical equipment | Asset register, depreciation, service and maintenance cost | Device readings and clinical use |
| Staff | Payroll, attendance, shifts, leave, end of service | Clinical credentialing and rostering by specialty |
| Money | Accounts, supplier payments, department cost centres | Claim coding and adjudication with insurers |

## How do we stop writing off expired medicines every quarter?

Stock is held by batch with an expiry date attached, across the main pharmacy and every department store. Items nearing expiry are visible before they cross the line, so they can be used, moved to a busier location or returned to the supplier while a return is still possible.

Read the detail

The write-off at the end of a quarter is never a surprise to the pharmacy. It is a surprise to finance. That gap exists because the two are looking at different records, one of them a stock card and the other a general ledger account that only gets adjusted when somebody counts.

Expiry is also not only a pharmacy problem. Reagents, test kits, sutures and contrast media all date, and they sit in departments rather than in the pharmacy, which is exactly where nobody is watching them. Holding every location in the same system is what makes department stock visible without sending someone to look.

## Why does the same consumable cost two different prices in two departments?

Usually because two people bought it from two suppliers without either knowing. Running purchasing through requisitions and approved suppliers puts every order in one queue, with the price history for each item attached, so a department asking for gloves gets them at the price the institution negotiated.

Read the detail

Clinics grow by department, and purchasing tends to grow the same way. Radiology has its rep, the lab has its own, and the pharmacy has a third. Each relationship is reasonable on its own. Together they mean the institution has no idea what it buys in total, which is the only figure that gives it any negotiating position.

Requisitions also fix an ordering problem that has nothing to do with price. A department requests, a manager approves against a budget, and purchasing issues the order. When that chain is a paper form, the approval usually happens after the goods arrive.

- ### One request queue

Departments raise requisitions instead of calling suppliers directly.
- ### Price history per item

What you paid last time, and to whom, before the next order goes out.
- ### Approval against budget

The spending limit is checked when the request is made, not at month end.
- ### Consumption by department

Which unit is using what, so a jump in usage gets a question rather than a reorder.

## How do we know what a piece of medical equipment has cost us?

Equipment is registered as a fixed asset with its location, purchase cost, depreciation schedule and the maintenance spent on it over its life. When a service contract comes up for renewal, you can compare the quoted price against what the machine has actually cost to keep running.

Read the detail

Hospitals carry a lot of capital in equipment and usually track it in two places, an asset list kept by finance for depreciation and a maintenance file kept by biomedical or facilities. Neither list alone answers whether a scanner is worth repairing again.

Registering the location matters more than it sounds. In a building with multiple floors and rented departments, a meaningful share of small equipment cannot be found during a physical count, which turns into an audit note every year.

## How do we run payroll when clinical and admin staff work nothing alike?

Payroll, attendance, leave and end-of-service run in the same system as the accounts, with different shift patterns per staff group. Night shifts, on-call hours and weekend rotations for clinical staff are handled alongside standard office hours for administration, and the cost posts to the department that used it.

Read the detail

Payroll is the largest line in most healthcare budgets and the least visible by department. When salary cost posts by cost centre, the picture changes: an outpatient clinic that looks profitable on revenue can turn out to be carrying three staff who spend most of their week supporting a different unit.

For Lebanese operations this also covers NSSF contributions and end-of-service calculation running off the same employee record as attendance, rather than being rebuilt in a spreadsheet each period.

## Where does the money in a clinic actually go?

Into staff, consumables and equipment, in that order for most facilities. Because each of those posts to a department cost centre as it happens, you can see the cost of running a unit against the revenue it brings in without waiting for someone to build the analysis by hand.

Read the detail

The value of this is not the report itself. It is that the report exists at all, monthly, without a two week exercise behind it. Administrators who see department level cost every month make different decisions about which services to keep offering than those who see it once a year.

One clear limit to state again: Wizard does not price insurance claims or handle adjudication with payers. Revenue arrives from whatever system does that. What Wizard gives you is the cost side against it, which is the half most facilities cannot see.

## Questions we get asked

If yours is not here, ask on the demo call. We would rather tell you it is not a fit than sell you the wrong thing.

[Ask us directly](https://wizardsolutions.net/contact)

- Which parts of a clinic does this cover?

The business side: procurement, pharmacy and consumable stock, fixed assets, payroll and accounting. It is the back office that keeps a healthcare operation solvent rather than a clinical records system.
- Can we track medicine and consumable stock?

Yes. Stock is tracked by batch and expiry across pharmacy and store locations, which matters for both patient safety and for not writing off expired inventory every quarter.
- How is equipment tracked?

Medical equipment is managed as fixed assets with location, depreciation and service history, so you know what you own, where it is and what it has cost to maintain.
- Does it handle payroll for clinical and admin staff?

Yes. Payroll, attendance, leave and end-of-service run in the same system as the accounts, including shift patterns that differ between clinical and administrative teams.
